Document Controller

Key Responsibilities

  • Document Management

    • Create, receive, register, update, and distribute project documents, ensuring correct versions are issued and obsolete documents are withdrawn.

    • Maintain comprehensive document registers, transmittal logs, revision histories, and approval records in an accurate and timely manner.

    • Establish, manage, and maintain both electronic and physical filing systems in accordance with HARIM document control procedures.

    • Ensure all documentation is correctly classified, indexed, and securely stored using approved document management systems.

    • Control the circulation of drawings, reports, specifications, method statements, and correspondence.

    • Prepare, record, and distribute meeting minutes, ensuring timely circulation and proper filing of records.

  • Compliance & Quality Control

    • Ensure all project documents comply with HARIM policies, quality management systems, client specifications, contractual requirements, and applicable regulations.

    • Apply and maintain consistent document numbering, file naming conventions, formatting standards, and approved templates across all projects.

    • Perform quality checks to verify accuracy, completeness, and consistency of documentation prior to submission or distribution.

    • Support internal and external audits by ensuring document traceability and availability of records.

    • Monitor document control processes and recommend improvements to enhance efficiency and compliance.

  • Project Coordination & Reporting

    • Liaise with Project Managers, Engineers, Consultants, Contractors, and external stakeholders to coordinate document submissions, reviews, and approvals.

    • Track the status of document reviews and approvals, follow up on outstanding actions, and proactively flag delays or non-compliance.

    • Prepare and issue regular document control reports, including submission trackers, approval status reports, and outstanding action logs.

    • Support project close-out by ensuring all as-built documents, manuals, and final records are complete and properly archived.

  • Administrative & Team Support

    • Provide administrative and coordination support to the Project Manager and project team as required, including meeting scheduling and record maintenance.

    • Assist with workflow follow-ups to ensure timely completion of documentation-related actions.

    • Support cross-project coordination where required, ensuring consistency in document control practices across HARIM projects.

Qualifications & Experience

  • Diploma or Bachelor’s degree in Business Administration, Engineering, Construction Management, or a related field (preferred).

  • Minimum 2–5 years’ experience in a Document Controller or similar role within construction, engineering, PMC, or consultancy environments.

  • Experience working on large-scale projects such as resorts, infrastructure, or mixed-use developments is an advantage.

Skills & Competencies

  • Strong understanding of document control processes and quality management systems.

  • Proficiency in document management systems and Microsoft Office (Word, Excel, Outlook).

  • High attention to detail with strong organisational and time-management skills.

  • Ability to manage multiple priorities and meet deadlines in a fast-paced project environment.

  • Strong communication and coordination skills, with the ability to work across multidisciplinary teams.

  • Discretion and professionalism in handling confidential information.
